We are seeking an organized and detail-orientated Business Office Assistant to join our team and support the daily operations of our facility. You'll play a vital role in admissions, billing coordination, medical records management, and resident support.

As the Business Office Assistant, your primary responsibility is to assist the Business Office Manager in all tasks assigned. You will work closely with the BOM in ensuring all billing and claims are submitted on time and are compliant with State and Federal regulations.

DUTIES & RESPONSIBILITIES:

  • Assist with resident admissions, maintain accurate records, and ensure completion of all required documentation

  • Ensure confidentiality and secure handling of both manual and electronic health records

  • Support the billing process across all payer types, post charges, and communicate with our billing partners

  • Manage release of information requests in compliance with legal and facility policies

  • Oversee discharge documentation and follow up with physicians for record completion

  • Act as a liaison between departments, external vendors, and families to ensure smooth communication and support

QUALIFICATIONS:

  • High school diploma or equivalent required; knowledge of medical coding and healthcare regulations is a plus.

  • Strong understanding of billing processes for all payer types, including Medicare, Medi-Cal, private insurance, and managed care.

  • Prior experience in a post-acute or long-term care setting is preferred to handle industry-specific billing and communication effectively.

  • Ability to communicate professionally with residents, families, insurance companies, billing partners, and healthcare providers (pharmacy, labs, hospice).

  • Capable of reviewing and processing private statements, posting charges accurately, and completing reports like census data and licensure reports.
