Job Overview

Provide professional administrative and clerical support including mailing, scanning, faxing and copying to field staff and management. Perform all other duties as required. Job is located on site in Staten Island, New York and will be in an office setting. Monday through Friday 7:00 am - 3:30 PM schedule.

Key Responsibilities/Accountabilities

• Provide professional administrative and clerical support including mailing, scanning, faxing and copying to field staff and management.
• Manage data including organizing, uploading, and maintaining project data received from support staff.
• Assist Project Managers in entering project information into the system
• Generate, maintain and manage project documents as needed, including sending invoices, scheduling kick off or summary meetings, etc.
• Assist in travel arrangements for staff.
• Perform general office duties such as maintaining records management systems.
• Answer and direct calls.
• Administer onboarding process for new hires in conjunction with HR.
• Work with supervision to coordinate employee training.
• Accounts Receivable and Accounts Payable entry and processing.
• Other duties as assigned.

Basic Qualifications

• Possess 5 years of administrative experience.
• Written, verbal, and interpersonal skills including proofreading and editing with particular attention to detail.
• Ability to manage the workday to meet project deadlines.
• Ability to respond to in person or written communication from internal and external customers.
• Previous experience in an engineering and consulting environment is preferred.
• Proficient with the Microsoft Office Suite (i.e. Excel, Word). Salesforce, Teams, and Concur experience a plus.
• Ability to perform work under moderate supervision in accordance with project policy and procedure, while maintaining a focus on productivity and efficiency.
• Flexibility to problem solve within the scope of assigned tasks while maintaining compliance with all defined policies and procedures.
• Able to work at a desk productively.
• Able to climb stairs to access project facilities.
• Able to lift up to 50 lbs.

As of the date of this posting, a good faith estimate of the current pay range for this position is $ to $ per year. Compensation depends on several factors including: experience, education, key skills, geographic location of the position, client requirements, external market competitiveness, and internal equity among other employees within APTIM.
